What is Event Studio?
Event Studio is event management software. It puts the budget, vendors and contracts with e-signature, RFPs and quote comparison, guest sign-up links and RSVP pages, seating, run of show, check-in and reports for an event in one workspace. It replaces the spreadsheets, email threads and WhatsApp groups that usually hold that information.
Who is it for?
Event managers at banquet halls and venues, wedding and social planners, corporate and agency event teams, and community organisers. The first customers are in Brampton and the Greater Toronto Area.
What does it cost?
It is free during the pilot program. Paid plans will be priced per organisation in Canadian dollars, with no per-guest or per-RSVP fee, and will be published before anyone is charged. Pilot customers get a founding rate.
Do my guests or vendors need an account?
No. Guests use a sign-up or RSVP link. Vendors receive RFPs, contracts and signing links by email and respond on a public page. Only your own team logs in.
Does it work for South Asian weddings with several functions?
Yes. One event can have several days and functions, each with its own guest tier, timeline and seating. Households and plus-ones are built in, so a family RSVPs once.
Can I run several events at the same time?
Yes. An organisation holds as many events as you need. Vendors are shared across events, and each team member has a role: viewer, planner, admin or owner.
Are contracts legally signed?
Contracts are signed online from a link, and the signed copy with signer details and timestamp is stored on the vendor record. For contracts that need a particular form of signature, check with your own adviser.
How do RFPs work?
You pick the vendors, write what you need, and send. Each vendor gets an email and answers on a public page. The quotes line up side by side on the same items. When you award one, the contract and budget line are created.
Can my client see the budget?
Yes. You can give a client viewer access to the event, or send them a client review with the options you want a decision on.
Is there a mobile app?
Event Studio runs in the browser on a phone, tablet or laptop. Check-in and the run of show are designed to be used on a phone at the venue. There is no app store download.
Where is my data stored?
On Amazon Web Services, with nightly backups. Your organisation's data is separate from every other organisation's.
How do I get started?
Send the name and date of an upcoming event by WhatsApp or phone. We set up the workspace from your existing sheets and send you a login. A 30-minute walkthrough is available but not required.
Can I import my existing guest list and budget?
Yes. Send the spreadsheet and we import it as part of setup. Guests, households, vendors and budget lines come across.
What languages are supported?
The software is in English. Support is available in English, Punjabi and Hindi.
